The Public Sector

 

The origins of The Mailing Room are as a specialist supplier to the public sector, meeting market demands to provide ‘best value’ mailing room equipment and building up a customer base of over 3000 publically-funded bodies.

We work within framework agreements such as PRO5, DEFRA, NHS Shared Business Services, and Advanced Procurement for Universities & Colleges and have been approved by the Crown Commercial Service. As a result, we can offer highly specialised advice on mailroom arrangement across the public sector.

Universities & Schools

While schools use digital technology and time-honoured hand deliveries for routine messages to parents and students, the authority of mailing is still valued for critical communications. Similarly, universities may employ texting and pigeon-holes for routine dialogue, but for out-of-term notices, communications with alumni and fund-raising activities, mail yields a better response. Digital franking machines of all specifications cater for the education sector, with overprinting of envelopes allowing for key messages.

Hospitals & Health

Emails and texting nowadays play a role in streamlining communications in the healthcare sector, for tasks such as confirming appointments and renewing prescriptions, but for critical messages people still value the authority and security of physical mail. Digital franking machines of all sizes cater for health centres and hubs, while larger, more sophisticated mailroom systems for hospitals maximise postal discounts, reduce administrative headcount and allocate costs against internal departments.

Local Authorities

Local authorities still depend largely on the physical post to communicate with residents and businesses in their catchment area, with as many as 1 in 50 councils posting more than a million items annually. Feedback from our local council clients suggests they receive better response rates from physical mail. Moreover, many are using digital franking equipment and centralised post rooms to make mailing processes more cost-efficient.

Government Departments

Although the Government is encouraging the use of digital tools to communicate with the public, mail is still regarded as a medium of authority, so is more suited to messages that require greater consideration than email or social media.
